Terms of Service

1. Acceptance

By creating a LetSense account or using the service, you agree to these Terms of Service. If you do not agree, do not use the service.

2. The service

LetSense is a property management platform for UK landlords and letting agencies, operated by LetSense Ltd (company no. 17217228, registered in England & Wales). It provides compliance tracking, tenant management, document storage, maintenance coordination, and financial reporting tools.

We reserve the right to modify, suspend, or discontinue the service at any time with reasonable notice.

3. Accounts

You are responsible for maintaining the confidentiality of your account credentials. You must notify us immediately at hello@letsense.co.uk if you suspect unauthorised access.

You must be at least 18 years old to use LetSense. By using the service you confirm this.

4. Acceptable use

You agree not to:

  • Use the service for any unlawful purpose or in violation of UK law.
  • Upload data you do not have the right to store (e.g. tenant data without a lawful basis under UK GDPR).
  • Attempt to access other users' accounts or data.
  • Reverse engineer, scrape, or otherwise extract data from the platform.
  • Resell or sub-license access to the service without written permission.

5. Your data

You own the data you upload to LetSense. By uploading data, you grant us a limited licence to store and process it in order to provide the service. We do not claim ownership of your data.

You are solely responsible for the accuracy of the data you enter and for complying with data protection obligations towards your tenants under UK GDPR.

6. Compliance information and reminders

LetSense is a management tool. It provides information, tracking, and reminder features to help you organise your compliance obligations. It is not a compliance guarantee service and does not constitute legal advice.

You remain solely and entirely responsible for meeting all legal obligations as a landlord or letting agent, including but not limited to: holding valid gas safety certificates, EICRs, EPCs, smoke and CO alarm records, HMO licences, and Right to Rent checks. The fact that LetSense shows a compliance item as current or compliant does not relieve you of the obligation to verify that position independently.

Reminder notifications are a convenience feature. They may not fire due to technical errors, misconfiguration, spam filtering, or other factors outside our control. You must not rely solely on LetSense reminders to manage your compliance deadlines. You should maintain your own independent record-keeping and reminders.

Compliance requirements under UK housing law change regularly. We endeavour to keep information accurate but make no warranty that information in the platform reflects the current legal position. You should verify requirements with a qualified solicitor or appropriate professional body before acting.

7. Legal notices

LetSense provides tools to help draft legal notices including Section 8 and Section 13 notices under the Housing Act 1988 (as amended). These tools auto-populate prescribed forms based on information you have entered into the platform.

The output of these tools is not legal advice. A notice generated by LetSense may be invalid if: the information you have entered is incorrect or incomplete; the legal requirements have changed since the feature was last updated; the notice is served incorrectly; or your specific circumstances require different treatment.

You are solely responsible for ensuring any notice you serve is valid, properly completed, and correctly served. We strongly recommend taking legal advice before serving any possession notice. LetSense accepts no liability for failed or invalid possession proceedings arising from the use of these tools.

8. Payment and billing

Paid plans are billed monthly in advance. Prices are shown on the pricing page and are inclusive of VAT where applicable. We use Stripe for payment processing — card details are held by Stripe, not LetSense.

Subscriptions renew automatically. You may cancel at any time from your account settings; cancellation takes effect at the end of the current billing period. We do not offer partial-month refunds.

9. Service availability

We aim for high availability but do not guarantee uninterrupted service. Scheduled maintenance will be communicated in advance where possible. We are not liable for losses arising from temporary unavailability.

10. Limitation of liability

To the maximum extent permitted by UK law, LetSense Ltd's total liability to you in any 12-month period is limited to the total subscription fees you paid to us in that period.

We are not liable for any of the following, whether arising in contract, tort, or otherwise:

  • Regulatory fines, penalties, or enforcement action by any local authority, the HSE, or any other body, arising from your failure to hold valid certificates or comply with housing legislation.
  • Failed, invalid, or set-aside possession proceedings, including any costs awarded against you in such proceedings.
  • Claims made against you by tenants, guarantors, or third parties arising from your use of the platform.
  • Loss of data, loss of revenue, loss of profit, or any indirect or consequential loss.
  • Any loss arising from a reminder notification failing to fire, being filtered as spam, or otherwise not being received.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded under English law.

11. Indemnification

You agree to indemnify, defend, and hold harmless LetSense Ltd and its officers, employees, and agents from and against any claims, damages, fines, penalties, costs, and expenses (including reasonable legal fees) arising from: (a) your use of the platform; (b) your breach of these terms; (c) your breach of any applicable law or regulation; or (d) any claim by a tenant or third party arising from your property management activities.

12. Termination

We may suspend or terminate your account if you breach these terms. You may delete your account at any time from Settings. On termination, we will make your data available for export for 30 days before deletion.

13. Governing law

These terms are governed by the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes

We will notify you by email at least 14 days before making material changes to these terms. Continued use after the effective date constitutes acceptance.
